Client Challenge: Modernising a Live Working Environment 

A global insurance leader, with 13,500 employees across 100+ countries, needed to consolidate and optimise its Dublin office space to better align with a hybrid working model. Their commitment to flexibility and adaptation was a driving force behind the office consolidation project, aiming to align their physical space with evolving business needs and employee work patterns. 

This project required moving their operations and IT infrastructure to a single floor while addressing the complexities of legacy systems and employee expectations in a rapidly changing work environment.

Our role extended beyond project management to include strategic advisory support for the design and architectural teams. We managed the detailed inventory and survey of all existing IT and AV equipment, identified and decommissioned outdated legacy systems, and orchestrated the complex move of critical LAN/WAN infrastructure. 

Given the live operational environment, Saros played a key role in ensuring seamless communication between all stakeholders, coordinating IT teams, vendors, and external partners. We also focused on employee communication, helping manage perceptions and ensure alignment with the hybrid working model.

  • Fit-Out & Expansion: Managed the full-scale fit-out of the designated floor, including new workspaces, boardrooms, and a CEO office, ensuring they aligned with flexible work arrangements. 
  • Extended IT Infrastructure: Expanded the communications room with upgraded 3-phase power and enhanced cooling to support the network infrastructure, while relocating key systems from the previous data centre. 
  • Legacy Infrastructure Transition: Efficiently decommissioned legacy equipment while preserving critical systems, simplifying the move to the consolidated space. 
  • Comprehensive Inventory & Testing: Conducted thorough equipment inventories, followed by systematic testing and commissioning to ensure a smooth transition. 
  • Central Coordination & Reporting: Acted as the central communication hub, providing clear, regular updates through weekly dashboards and monthly financial reports, ensuring the project remained aligned with the €2.4M budget.
